Information for this year's graduates

The following pages explain how Kingston graduates can obtain proofs of study and final award.

Please read the following notes carefully before you complete anything.

Request for a Certificate and Diploma Supplement*

*This is a final transcript which provides a detailed breakdown of all modules taken and the results achieved for each, by level, grade, mark and credits.

Before the graduation ceremony

If you want your certificate and/or diploma supplement before the graduation ceremony, please email gradcerts@kingston.ac.uk providing your Kingston University ID number, your full name and date of birth.

If you receive your certificate prior to the ceremony and still wish to attend, you will not be issued with another copy on the day. 

After the graduation ceremony

If you're not attending the graduation ceremony and would like us to post your certificate and/or diploma supplement to you, please email gradcerts@kingston.ac.uk providing your Kingston University ID number, your full name and date of birth.

IMPORTANT: if you don't attend the graduation ceremony your certificate and diploma supplement are NOT automatically posted to you.

All certificates and transcripts will be posted via recorded mail to your home address.**

**A signature will be required. If there is no one to sign for the package, it'll go back to the local sorting office and, eventually, returned to us. The Post Office should leave you some notification that they tried to deliver a recorded mail item.

If you think you're unlikely to be at your home address when the documents arrive, please provide an alternative address, such as your work.

If you prefer to collect your certificate and transcript in person, that's fine, but they'll only be available from two weeks after the date of the graduation ceremony. This allows time for the certificates and transcripts to be sent from your Faculty.
You can collect the documents from the Student Affairs Office on the ground floor of Cooper House, a short distance from the main Penrhyn Road campus. It's open Monday to Friday 10.00am to 4.30pm. Please email gradcerts@kingston.ac.uk providing your Kingston University ID number, your full name and date of birth, and when you will be collecting your certificate.

If you're sending someone to collect your certificate and transcript on your behalf, please make sure they bring their own ID and a letter/email of authorisation from you.

How long does it take?

During the graduation period we're very busy, so it could take up to six weeks to send the documents you requested. At other times, your request should be turned around within 15 working days.

Name changes

The name entered on the enrolment form and verified as part of the enrolment procedures, is the one that will appear on a graduation certificate and diploma supplement. 

It doesn't have to be your full name, as on your passport. For example, your middle name may be omitted, as long as sufficient evidence is produced to ensure you're recognisably the same person named on the passport (or some other proof of ID). However, if you subsequently change your mind, you will have to re-submit original proof of any amendment before your final Programme Assessment Board.

If your name has changed since you started your course (for example, you got married), you should take your original proof of ID, such as marriage certificate or deed poll, to your school office to get your name changed on the system.

Your name cannot be changed once your award has been formally agreed by the Programme Assessment Board (PAB) – unless the reasons for that change are considered exceptional.

If you can prove the name was changed before PAB agreement, a change will be considered. However, we'll charge £30 if certificates have already been produced.
